Creating a Work Request

Details Tab

1.. Work Requests can be raised from both the Work Orders as well as the Work Requests tabs. Simply click the + button located in the top right hand corner of the screen.


2. You will see a short options menu pop-up from the bottom of your screen. Simply select the New Work Request option.


3. This will open a new work request form that you will have to fill out. Note that all fields marked with an asterix (*) are required in order to submit the request. Start off by selecting the asset you are raising your request against. To do this click on the Search for Asset field on the form. This will open up a list of available equipment.


4. In the Asset/ Equipment look-up list you can search for the associated asset using the Search bar at the top of the screen. Simply type in the name, asset code, unit number or serial number of the asset you are looking for. If a unit has an HMI installed, you can also quickly look up the asset by scanning the QR code displayed on the HMI. To do this, click on the QR code icon in the top right hand corner of the screen. 


You will note, certain assets are highlighted in RED. These are InActive assets and cannot be selected to perform maintenance against.

5. You will note that certain assets shows a View SubAssets (i) button next to them. These are typically main units that has multiple components installed on them. To view and select the unit or any of its components, click on the View SubAssets button to expand the asset. For example if you wanted to select a Fluid End on a certain pump, you can search for the Fluid End serial or the Unit number. The unit will show on your list and you simply click on the View SubAssets button to expand the asset.


6. In the expanded view of the asset you will see all the currently installed components of the unit as well as the main unit itself. From this list, simply select the asset you are raising the request against. We'll select the Fluid End for this scenario.


7. Next you will have to provide a detailed description of the issue you are reporting or the work you are requesting. In the Description of Issue field, type in the issue you are reporting or the requested work.
Try and be as detailed as possible but keep it short as someone has to review your request and decide if it should be turned into a work order.


8. Now, specify the date the incident took place by clicking on the Incident Date field in the form and using the date time selector to specify the date and time of the incident. By default the incident date will start on your current date and time.
You cannot select a date in the future.


9. Now you need to specify if the request is Urgent or not. You do this by toggling the Request is Urgent switch on or off. By default the switch will be off meaning the request is not urgent. To mark the request as urgent, simply toggle the switch on.

10. Now you need to assign this request to a Responsible Person. To do this click on the Search Responsible Person field on the form. This will open up a list of selectable personnel that you can assign the request to or make responsible for the request.


11. A list of personnel will open. You can search for the person responsible from this list by using the Search bar at the top of the screen. You can search for someone by name, surname or employee code. Once you find the person you are looking for, simply click on the Select button next to their name.


12. The last field on the Details tab is the Additional notes/ comments field. Here you can add any additional comments or notes you would like to accompany the request and would like the person reviewing the request to see. Then move on to the Files tab to add any attachments to the request if applicable. See File Tab section below for details.


At this point you can SUBMIT the work request. Attachments are not required to be added in order for a WR to be submitted. To submit the request simply click on the Submit button in the top right hand corner of the screen. You will get a confirmation message on successful submission of the request and you're done. Please see the Files Tab section for adding attachments (images and files) to the request.


Files Tab

1. To Add attachments such as files or images to your work request, before submitting, navigate to the Files tab on the New Work Request form. On this screen, click on the +Add button in the bottom right hand corner of the screen. This will open up a window for you to add an attachment to the work request.


2. In the Add Files window, you have 3 options; Camera, Photos and Files. 
2.1 Camera option: This will open up the camera feature on your mobile device allowing you to take a photo of the issue and add that to the request
2.2 Photos option: This will open up your device's image gallery, allowing you to select an image from your device's gallery to add to the request
2.3 Files option: This will open up Files on your mobile device, allowing you to attach a file/ document to the request
Please note that only PDF file types are accommodated at this point


3. Once you have the attachment on the form, please provide a name for the attachment you are adding. Needs to be less than 100 characters.


4. Once you have named your attachment, click on the Add button in the top right hand corner of the screen to add the attachment to the request.


5. You will see that your attachment has been added to the files tab. To add additional attachments to the request, simply click on the +Add button in the bottom right hand corner to add additional attachments by following the same steps as outlined above.


6. Once you have all the attachments added, simply click on the Submit button in the top right hand corner of the screen to Submit your work request. And you're done!
